Privacy Policy

1. Information We Collect

Account information: name, email, phone number, password (stored only as a salted hash, not in plain text), and role (owner, dispatcher, or driver), for you and any users your Company creates or invites. Owners may also record an hourly pay rate for each employee.

Vehicle and compliance data: vehicle details (including VIN and the year, make, and model looked up from it), inspection reports, defect logs and photos, odometer readings, service reminders, and registration/insurance/inspection dates.

Job and dispatch data: job details you enter, including your customers' names, phone numbers, and addresses, and job status history.

Time-clock data: clock-in, clock-out, and break punches recorded by employees, and the hourly rate in effect when each shift started.

Receipts: amounts, direction (paid or received), categories, dates, vendor, notes, who approved an out-of-pocket receipt and when it was reimbursed, and photos you log.

Job payments: the amount, method (cash, check, card or other), note and date of a payment you record as having been received against a job, and who recorded it. RelayPoint records these; it does not process them.

Location data (only while Pro features are on — the Pro plan or the trial): GPS coordinates, heading, and speed reported from a driver's device while that driver has an active assigned job and the app is open in the driver's browser. The app does not request location outside of an active job.

Instant quote requests (if your Company enables the public quote page): the name, phone number and/or email, address, and photos a prospective customer submits, along with the automatically generated estimate.

Payment information: payments are handled by a third-party payment processor (Stripe). We do not store full payment card numbers ourselves.

Usage and error data: standard technical data such as IP address, browser type, and the requests made to the Service, for security and troubleshooting purposes. When something in the app fails, an error report (the error, the page it happened on, and browser and device type) may be sent to our error-monitoring provider.

2. How We Use This Information

We use the information above to: provide and operate the Service (dispatch, compliance tracking, time tracking, routing, notifications, instant quotes); authenticate users and secure accounts; send transactional communications by email (verification codes, invites, password resets, and billing, trial and account notices); and improve and troubleshoot the Service. We do not currently send text messages: the “text” and “call” buttons in the app open the apps on your own device, and those messages are sent by you, not by us.

We do not sell your personal information or your Customer Data to third parties.

3. Third-Party Service Providers

We share information with the following categories of service providers ("subprocessors") solely to operate the Service on our behalf:

Mapping and routing provider — maps, geocoding, and route suggestions. Data shared: vehicle/job location data, addresses.

Website analytics provider — aggregate visit statistics for our public pages only; the signed-in app does not load it. Data shared: page address, referring site, browser and device type, and approximate country. The provider we use states that it sets no cookies and collects no personal identifiers.

Transactional email provider — delivery of account and notification emails. Data shared: email addresses, message content.

Cloud photo storage provider — storage for inspection, defect, receipt, job-completion, and quote-request photos. Data shared: uploaded photos.

AI model provider — estimating the contents and volume shown in photos submitted through the instant-quote page. Data shared: the submitted photos.

Cloud hosting and database providers — application hosting and data storage. Data shared: all data stored in the Service.

Payment processor — billing and payment collection. Data shared: billing information.

Error-monitoring provider — reports of errors in the app, so we can find and fix them. Data shared: the error, the page it happened on, browser and device type, and IP address. We configure it not to send form contents, passwords, or sign-in tokens.

Each provider handles this data under its own terms and privacy policy. A list of the specific providers we use is available on request.

4. Location Data — Additional Detail

Location tracking is only active while Pro features are on (the Pro plan or the trial) and only while a driver has an active assigned job and the app is open. It is used to show a vehicle's approximate current location to dispatchers within the same Company, and to compute route suggestions. The app does not report location when a driver has no active job, is logged out, or when Pro features are off, and the server refuses location reports in that last case. Location reports are stored as a history log associated with the vehicle; they are retained while your account is active and are not currently pruned automatically.

5. Data Retention

We retain Customer Data for as long as your account is open. When an account is closed — by its owner, or automatically after 90 days with no paid vehicle and no activity — it becomes read-only and its data remains available to read and export. Three years after the date it was closed, the account and everything in it, including photos, is permanently deleted; we email the account owner 30 days beforehand. We chose three years with motor-carrier record-keeping periods in mind, but some records may need to be kept longer, and keeping the records you are required by law to retain remains your responsibility. We may retain limited information longer where required for legal, tax, or security purposes.

6. Data Security

We protect your information with measures that include encrypted connections (HTTPS), hashed passwords, role- and company-based access checks, and restricted-scope API keys. Our hosting, database and photo-storage providers are responsible for the physical security of their systems. No method of transmission or storage is completely secure, and we cannot guarantee security.

7. Your Rights

You can correct your account information in the app, an owner can close the Company account from the Billing page, and you can ask us for access to, or deletion of, your information by contacting us at support@relaypoint.us. If you are located in a state with additional statutory privacy rights (e.g., California), you may have further rights to know, delete, or limit the use of your personal information — contact us to make such a request.

8. Children's Privacy

The Service is intended for business use by adults and is not directed to individuals under 18. We do not knowingly collect personal information from children.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will provide notice of material changes via email or an in-app notice. Continued use of the Service after changes take effect constitutes acceptance.
